Email Review: approving held sends

Email Review (sidebar, under Outreach) is where campaign emails wait when the deliverability check could not resolve the address. It only appears when "Verify email addresses before sending" is on for your workspace, and it only applies to campaign sends. The link shows for roles with the Campaigns, Email Setup and Replies permission, and the same permission is needed to decide, because releasing mail is a sending decision.

Rows arrive in one of two states, and each row is labelled so you can tell them apart at a glance.

"Waiting on you" is an address the check looked at and could not confirm either way: most often a catch-all domain, where the mail server accepts every address so the specific mailbox cannot be checked, or a mail server that did not answer in time. Nothing will move it until you decide. Those are the addresses most likely to bounce, which is why they are held rather than waved through.

"Re-checking" is an address the check could not run on YET - the checking service was not answering, your credits ran out, or the run had already used its share of checks. There is nothing you need to do: it is retried automatically - every fifteen minutes when the service is the problem, hourly when it is a credit shortage - and it sends by itself the moment a check succeeds. If you do not want to wait, each of those rows has its own "Send without waiting" link, which sends that one email without a check. It is deliberately one row at a time, and it is not covered by the select-all box, because these are addresses nobody has looked at yet. If a row is still unconfirmable 24 hours later it stops retrying and moves to "Waiting on you", so nothing sits here forever without being asked about.

Each row shows the reason in plain words. Nothing is lost while an address waits: the email is held, not deleted and not failed, and it resumes the moment a check succeeds or you approve it.

Send anyway releases that email back into the sending queue. For a "Waiting on you" row it also records the decision against the contact, so later steps of any sequence to that person send without asking again; that decision does not expire, and the page says so before you click. For a "Re-checking" row it applies to that one email only - nobody judged that address, so nothing about it is remembered. One thing overrules an approval either way: if a later bounce proves the address undeliverable, that confirmed verdict wins. Approving means "we could not tell", never "this is confirmed good".

Never send marks the contact's email Invalid, adds the address to your workspace's suppression list so no campaign can reach it again including ones the contact is not in yet, and cancels the held email. That decision stays inside your workspace and never affects any other HuntSales customer.

You can tick several "Waiting on you" rows and decide in one action. "Re-checking" rows cannot be ticked - they need no decision, and most resolve themselves within the hour - so if you want one of those sent now, use its own "Send without waiting" link. None of this costs credits: for a "Waiting on you" row the 0.5-credit check already happened, and a "Re-checking" row is either waiting on a check that has already been paid for or has not been charged for at all.

A campaign CAN pause here, and that is deliberate. If your balance is too low to pay for a check, or the checking service is down, the affected emails wait rather than going out to addresses nobody has confirmed. While they are still "Re-checking", topping up or the service coming back releases them on the next run with nothing for you to do. Once a row has moved to "Waiting on you" - 24 hours of failed checks - that no longer applies: it is waiting on your answer from then on, and only Send anyway or Never send will clear it.

Send anyway and Send without waiting work even while the checking service itself is down. That is the point of them: the decision is recorded on the email, so the next send run honours it instead of holding the address again. The only thing that overrules it is a confirmed undeliverable verdict.

Workspace owners get an email while addresses are held, at most once a day, with a link straight to this page and a count of how many are waiting on a decision versus still being re-checked. That count leaves out the addresses that are only waiting their turn in the next run's checking budget - they clear themselves within minutes, and counting them would mean an email nearly every day about nothing. They are still listed on this page. You can turn the email off under notification preferences ("Addresses awaiting review"); turning it off does not release the held emails.
