Templates are a starting point, not a script. Paste the same paragraph to a thousand people and it gets ignored; what carries from one campaign to the next is the structure underneath.
- A relevant reason you are writing to this person, in the first line.
- One concrete point of value, not a feature list.
- Proof or specificity that shows you understand their world.
- One simple ask, ideally a question, not a request for a 30-minute demo.
Three structures to adapt
The problem-led opener
Hi {{first_name}}, teams selling into [their market] usually lose a chunk of pipeline to [specific problem]. We help [their type of company] fix that without [the painful workaround]. Worth a quick look for {{company_name}}?
The trigger-based email
Hi {{first_name}}, saw {{company_name}} just [hired / launched / expanded into a market]. That usually means [relevant consequence]. We helped [similar company] with exactly that. Open to me sending over how?
The short ask
Hi {{first_name}}, quick one: who looks after [the relevant function] at {{company_name}}? Happy to share a one-pager rather than take your time on a call.
Personalise the first line and the targeting
The template matters less than who receives it and what its first line says. A strong template sent to the wrong list still fails; a plain one sent to a tight, well-chosen segment with a relevant opener does the work. Start with one structure, send it to a small relevant list, and keep the version that books meetings.
