Setting up your managed calling service
When you choose HuntSales as a Service, we email you a link to your setup form. The link is for you only, and the form takes about 15 minutes. Our calling staff make business-to-business calls to company lines only, about business needs, with every opt-out honoured, following the brief you give us in the form.
The form has five steps:
- Company: your legal company name, registration number, website, what the company does, who its customers are, your registered address and your business registration document. For a Singapore company, that is the ACRA business profile. Otherwise, the certificate of incorporation or equivalent.
- People: your directors, any shareholders owning 25% or more, the authorised signatory's name, job title and email with a copy of their NRIC or passport, and your billing contact and invoice address.
- Brief: what you sell, the outcome you want from each call, who we should call and who to leave out, your talking points, common objections and any script you already use.
- Leads: where the leads come from, who takes the meetings we book for you, who receives the weekly report, the address follow-up emails are sent from, your preferred start date and calling hours. If you give us your own list, upload it as a CSV file and tick the declaration about it, which is the agreement's own wording: the list holds company lines only, you say where it came from and your lawful basis for having the numbers called, and everyone who opted out has been removed. We only call a list sent through the setup form, so upload it there even when it is only part of the leads. If we find the people for you (our database, companies like your examples, or a mix without a list of your own), you also tell us who to look for: industries, company sizes, countries and cities (and Singapore postal sectors if you want), roles or job titles and seniority, who to leave out, and for companies like your examples, up to 10 example companies or websites.
- Agreement: read the parties, the order form and the service terms, tick each box to accept, and sign by typing your full name. The agreement is between BizGrants Consulting Pte. Ltd., whose brand is HuntSales, and your company. The parties show our legal name, UEN and address as they were when your link was sent, and your company's name, registration number and registered address from the Company step. If you give us your own list, the declaration you ticked on the Leads step is shown again with your answers about the list, as part of what you sign. The order form shows the number of calling staff, the fee for each and the monthly total, the working hours, the payment terms and the minimum term, as agreed when your link was sent. Under the signature box you see the agreement's version and its fingerprint (SHA-256), the fingerprint of exactly the text on the screen, from the parties to the boxes, which your signed copy and its PDF keep and print. If we publish a new version of the agreement while your form is open, Submit asks you to reload the page and read it again before you sign. If you give us your own list, you also confirm how the list was collected and give an indemnity for it. If we build the list for you, you only confirm that the details in the form are true and that you can sign for your company, and the indemnity in our Terms of Service does not cover the people we find for you or our calls to them. The service runs for a minimum term from the start date we confirm by email (normally 1 month); after that either side may end it by giving notice by email (normally 30 days), and it ends at the end of the service month in which the notice ends. The terms also cover a day off you ask for (with enough notice, normally 2 working days, its hours are made up as extra hours on later working days in the same service month; otherwise the day counts as worked), the absence of a member of the calling staff (cover where we can, then make-up hours, or a credit to a later invoice), Singapore public holidays (non-working days, already reflected in the fee) and replacing a member of the calling staff (normally within 5 working days). Our total liability is capped at the fees for 1 month, with no liability for indirect losses such as lost profits or lost deals, except where the law does not allow a limit, and results such as meetings, replies or sales are not guaranteed. If we find the people for you, they stay HuntSales data: we do not export or hand over that list, and you receive the outcome of every call, with full contact details for prospects who are interested or have a meeting booked. We answer for their personal data, so send us any request from them to access or correct it.
Documents can be PNG, JPG, WebP or PDF files, a list must be a CSV file, and each file can be up to 4 MB.
The form saves as you go, so you can stop and finish it later from the same link. The link expires after 14 days. If it has expired, reply to our email and we will send you a new one.
Once you submit, we review your business before we set anything up, and we reply by email. If something needs changing, our email says what and brings a new link.
Your signed copy. As soon as you submit, we email your signatory a link to the signed agreement and attach it as a PDF, with a copy to your billing contact. It shows the order form, every clause you agreed to, the boxes you ticked and the record of your signature, and the page has buttons to download the PDF or print it. The PDF ends with an audit record: the time it was signed in Singapore time, the IP address and browser used, and the agreement version, with the agreement's fingerprint. If the PDF was not ready when you signed, we email it to you once it is made. The screen you see after submitting links to it too. If the email does not arrive, reply to our email and we will send it again. Keep the link private: anyone with it can open the agreement. Each time you submit the form you sign again, and we email you the new copy; the earlier one is marked as replaced. A replaced or withdrawn agreement still opens from its link, but no PDF of it is offered, so only the agreement that applies goes around as a PDF.
An address for your calling staff. In the Leads step you can give us an email address you have created at your company for your calling staff. Use it if you want calls and follow-up emails to come from your company address. Create a new mailbox for this: one login belongs to only one workspace, so an address that already has a HuntSales login cannot be used. If you leave it empty, your calling staff sign in with an address of their own.
Who gets a login. When your workspace is set up, the authorised signatory and every weekly report recipient get their own view-only login. Each person receives an email with a link to set a password and sign in. A view-only login shows your call log, recordings, dashboard, pipeline and weekly report, and cannot place calls or export lists. For people we find for you, it shows the company and the outcome of each call, and the person's details and the recording once they are interested or have a meeting booked. Each member of the calling staff we assign to you has a login of their own.
Billing. The monthly fee is the fee for each member of the calling staff we assign, times the number of calling staff, paid monthly in advance. The service is invoiced monthly from the start date we confirm when we approve your details. Your first invoice is emailed when your workspace is set up, and calls start once it is paid: until then your workspace shows a notice and no calls are made. If the first payment will arrive after the start date, we move the start date and send you a new first invoice, so you never pay for days before the service started. The receipt for your first payment says when the service starts. After that, each invoice is emailed 7 days before its service month starts. Invoices go to your billing contact, with a copy to the signatory, and each email holds the full invoice and a link to view or print it. Each invoice shows the number of calling staff and the fee for each, the subtotal, the credit applied (if any) and the amount due. Payment is by bank transfer only, to the bank details on the invoice, and is due 2 days before the service month starts. Each invoice shows its due date: 2 days before its service month starts, or 2 days after the invoice date when we send the invoice later than that. While an invoice is unpaid, we send a reminder 5 days and again 3 days before the service month starts. If payment has not been received by the due date, the invoice is overdue: we email you once, and calls continue through the grace period in your agreement (normally 3 days). If it is still unpaid after that, calling pauses on the date shown on the invoice until payment is recorded, and your workspace shows a notice saying so. Calls resume as soon as payment is recorded, and we email you a receipt. Before the first payment and while calling is paused, campaign emails from your workspace are not sent either: they wait, and go out once the service runs again. After the service ends, campaign emails are not sent. We are not GST-registered, so no GST is charged.
Days off, absences and replacements. Your agreement covers a day off you ask for, the absence of a member of the calling staff, and replacing one. Ask us for a day off by email, and we record it and email you the outcome. With enough notice (normally 2 working days, counted in whole working days between the day we receive your request and the day off, a request received after 6pm Singapore time counting from the next working day), the hours of that day are made up as extra hours on later working days in the same service month, never on a weekend or a Singapore public holiday. With less notice, or if the hours are not made up within that service month, the day counts as worked, with no refund or credit. A request we receive after the day off is over always counts the day as worked. If a member of the calling staff is absent, we arrange cover from other calling staff where we can, or make the hours up in the same service month. Otherwise the day is credited to a later invoice at the monthly fee for one of the calling staff divided by the working days in that service month (for example, S$2,000 over 21 working days is S$95.24 a day), never more than that monthly fee for one person in a month, and not for a day the service was paused for an unpaid invoice. A day you took off for that person, or for all your calling staff, is never an absence. We email you each credit with its amount, and the make-up hours when they are arranged. You see that a member of the calling staff was absent, never the reason. Credit is applied to the next invoice issued, up to its amount: the invoice shows the subtotal, the credit applied and the amount due, and an invoice the credit covers in full is issued at S$0.00, marked paid, with nothing to pay. Credit is never paid out in cash, and credit not used by the end of the service lapses. If an absence was recorded in error, we remove it and reverse its credit, shown as Credit reversed with the date; if that credit was already used on an invoice, your next credits pay it off first, and it is never added to an invoice. We email your billing contact when that happens, and the email for each later credit says how much of it pays that off and how much goes to your next invoice. When you ask us to replace a member of the calling staff, we email you to confirm, the replacement is due within 5 working days of your request, and we email you again when the replacement starts. A working day on which no one fills that place before then is treated as an absence.
Your Service page. Each view-only login of your company has Service in its sidebar (your calling staff do not, because it shows the fee). It shows where the service stands (for example "Active.", "Starts on 1 Nov 2026 once invoice HS-0001 is paid.", or "Overdue: invoice HS-0002 is unpaid. Calls pause on 3 Nov 2026 unless payment is recorded."), your calling staff by first name with the number of calling staff and the fee for each, every invoice with a link to view it and any credit applied, your credit balance and its entries, the service log (each day off, absence and replacement with how it was handled; an absence never shows its reason), and the agreement in force with buttons to open the signed copy and download its PDF. From there you can Request a day off (for all your calling staff or one of them) and Request a replacement. A request counts from the moment you send it, its outcome follows your agreement, and we email the details to your billing contact and are told at once. A day off can be for any day from your service start date, and a replacement can be asked for once the service has started.
New terms. Your fee and terms change only when you accept new terms. When we offer a new number of calling staff, a new fee for each, or a new version of the agreement, the Service page shows "New terms are waiting for you" with Review and accept (we may also email you a link). The review shows the full agreement as it would apply, with its fingerprint (SHA-256); to accept, tick each box, tick that you are authorised to accept for your company, and type your full name. We keep your login, the time, your IP address and your browser as the record, add the signed copy to your agreements and email it to your billing contact. New terms apply from the first service month not yet invoiced, shown before you accept; invoices for earlier months keep the terms they were issued under. The signed copy of the new terms states the day they apply from. Until then your current agreement stays in force, with its PDF, and reads "Applies until" the day before; the Service page shows the fee in force today and the new fee with the day it applies from. If you do not accept, your current agreement stays in force. New terms are not offered once the service is ending, and any waiting are withdrawn. If the agreement is updated while new terms are waiting, they can no longer be accepted and we send you new ones.
Ending the service. After the minimum term, either side may end the service with written notice by email (normally 30 days). The service then ends at the end of the service month in which the notice period ends, never before the minimum term is over. For example, with service months starting on the 15th and 30 days' notice given on 10 January, the notice ends on 9 February and the service ends on 14 February. Your Service page shows the end date once it is set, and nothing is invoiced for a month that starts after it.
