Google and Microsoft sign-in on your team

How it works. A teammate who signs in with Continue with Google or Continue with Microsoft is tied to their login by that account's own permanent id, not by its email address. Changing the account's address does not move it: a renamed or reused mailbox (for example a Microsoft 365 mailbox renamed for a new person) keeps signing in to the login it was first tied to, which is the previous person's login, with their contacts and history. A brand new account given an old address joins the login that has that address, for the same reason.

Before you hand a mailbox or its address to someone new. Pause or remove the previous member, or unlink their Google or Microsoft sign-in (below), before the new person signs in. Otherwise the new person signs in to the previous person's login.

When a renamed account lands on a paused login. If the address the account signs in with now belongs to a different login in your workspace (the new person has a login of their own), the person signing in sees "Linked to another login" and, for a Microsoft account: "This Microsoft account is linked to another teammate's login. Ask your workspace admin to unlink it." (a Google account says Google). They are told nothing else about the other login. The workspace's Super Admins get one bell notification, naming the account's email and the login it reached, with a link to Team. Anyone else signing in to a paused login sees "Access paused", the paused member with their own account included, even after their own address changed (see "Pausing a team member's access").

Unlink Google or Microsoft. Only the Super Admin can do this. Open Team, stay on the Members tab, and press the unlink button on the member's row. It is there only for a member who has a Google or Microsoft sign-in, and its label says which one, such as Unlink Microsoft. The box lists the account and the address it last signed in with; confirm with the Unlink button. The member is signed out on every device: their sign-in ends at once, and a page they still have open goes to the sign-in page at their next action, or within 10 minutes. They sign back in with their email address: their password, or a link from Forgot? on the sign-in page if they never set one. Nothing else about them changes: their contacts, role and history stay as they are. The next time anyone signs in with that account, it joins the login that has the account's email address, or starts a new sign-up if there is none. Every unlink is recorded in Settings, Activity, with the account that was unlinked.

When Unlink is refused. A member who signs in only with Google or Microsoft, with no email sign-in and no password, cannot be unlinked, because they would have no way to sign in: the box says so and offers no Unlink button. To free that account, remove them instead, and give their contacts and companies to a teammate as you do (see "Adding team members and seats"). A Super Admin unlinking their own Google or Microsoft sign-in types their password in the box first, so they are sure they can still get in with their email; anyone who never set one sets a password first (the box links to the page). Unlinking your own sign-in signs you out too.
