Pausing a team member's access
Pausing stops a team member from getting into the workspace while you review their account, without removing them. Open Team, stay on the Members tab and press the pause button next to their name. The confirmation lists what pausing does and has a box for a private note on why: only admins see the note, and only while the member is paused. It is never shown to the member. Press Pause access to confirm. To give their access back, press the resume button on the same row. It takes one click, and they can sign in again straight away.
Who can pause. The Super Admin, and any member whose role has the Team Management permission. Nobody can pause themselves. A Super Admin cannot be paused, which also keeps the workspace owner in; change their role first if you need to. A teammate who has not signed in yet (the "Invite sent" tag) cannot be paused: cancel their invite from the Invitations tab instead.
What the member sees. The app refuses what they try, and any open session ends within a few minutes. The sign-in page then shows "Access paused" and says: "Your access is paused while your account is under review. Please contact your workspace administrator." It shows the same if they sign in with Google, Microsoft or an email link. If they type their password, they get the usual sign-in error instead, so nobody who only knows their email address can tell that the account is paused. They are not emailed when you pause or resume them, and no reason is shown to them.
Nothing is deleted. Their contacts, assignments, shared contacts, lists, tasks, deals, calls, daily limits and history stay exactly as they are, and Resume puts everything back as it was. Campaigns they created and automations they built keep running as workspace work. Reply sync keeps running too, so a prospect who replies still stops getting follow-ups. Prospects can still reply into a mailbox the member connected, and the member may still read that mailbox in their own email app; to stop that, the Super Admin can remove the mailbox under Email Setup, or you can pause the campaign from Campaigns. While a member is paused, inbound calls do not ring them, their softphone stops working, and reply alerts and missed call alerts meant for them go to the workspace's Super Admins instead.
What stops until you resume. Their API keys and any AI apps they connected stop working. The keys are kept, so they work again after Resume. View As is not available for a paused member.
Seats and records. A paused member still counts as a seat on your plan, because a pause is meant to be temporary; remove them under Team if they are leaving. On the Members tab a Paused tag sits next to their role, and hovering over it shows who paused them, when, and the note. When anyone is paused, the line under the Team heading shows how many, and clicking it lists only the paused members. The tag, the count and the note are shown only to members with Team Management or Delete Users. Every pause and resume is recorded in Settings, Activity as "Paused member" or "Resumed member", with who did it. The note is not copied there, and it is gone once you resume them.
