Team contacts: duplicates, owners and campaigns

Your whole team works from one database, and HuntSales makes sure two people never approach the same person or company without knowing it.

No duplicates. The same person cannot be added twice in one workspace. People Search checks every result against your CRM by LinkedIn profile, email, and name at the same company. Someone already in your CRM shows an In CRM tag and cannot be ticked, an add skips them free of charge, and the Duplicates page finds companies and contacts that came in twice from other sources.

Who has each lead. A lead belongs to the teammate who added it (see "Assigning, sharing and moving contacts"). The In CRM tag on a People Search result says who: "In CRM, Sarah Lim", "In CRM, yours" or "In CRM, unassigned". It is amber when a teammate has the person. Hover over it, or tap the person on a phone, for the detail, for example "Added by Sarah Lim on 3 Oct. Ask them or an admin before contacting." When the Super Admin gave the lead to them, it says "Assigned to Sarah Lim on 5 Oct" instead.

Who can open it. In a workspace that limits prospects to their assignee (Settings, Workspace, "Restrict prospects to their assignee"), a member without View All Contacts sees their own leads, leads shared with them and unassigned ones. They still see in People Search that a teammate has a person, and who, but the tag does not open the record and its email and numbers stay hidden ("Details hidden").

Campaigns: one manager per contact. When you add contacts to a campaign, from Contacts, Workspace, a CSV import, a list on the campaign's Contacts tab, the lists you pick when you create a campaign, Website Visitors, the Copilot, an automation's Add to campaign step, a bulk enrich that adds to a campaign, or the MCP enroll tools, HuntSales leaves out anyone another member owns, anyone already active in another member's campaign and anyone waiting in another member's draft campaign, and says so, for example "3 skipped: owned by Sarah Lim" or "2 skipped: already in Tom Ng's campaign". Launching a campaign checks everyone in it again, so a person another member took or started emailing since is left out, and the launch message says how many. If two managers enrol the same person at the same moment, the first enrolment stands and the other is taken back before anything is sent. Your own leads, unassigned ones and leads shared with you go in. This applies in every workspace, restricted or not. Only the Super Admin can add them anyway: they are asked once, "Add them anyway? Two managers could then contact the same person.", and each time they say yes it is recorded in Settings, Activity. Over MCP a Super Admin's key passes override_ownership:true. If the check cannot run, nobody is added and you are asked to try again.

Company owners. A company has an owner too. When a member adds the first person at a company nobody owns (from People Search, a company's panel, Account Map, Add all, Add contact or a CSV import), the company becomes theirs, and so it does when the Super Admin gives a contact there to a member with Move to. The Super Admin's own adds leave it unowned, unless they give the people to a teammate, who then gets the company. Companies from before owners existed belong to the member who holds their earliest person. A company that already has an owner keeps it, and moving a contact later does not move it. On the Companies page the Owner column shows who owns each company (on a phone, under the name), the Owner filter shows one member's companies or those with no owner, and the Super Admin changes owners there: tick companies and choose Set owner, or open one company and pick its owner. Every change is recorded in Settings, Activity.

Another member's company in People Search. A result whose company a teammate owns shows "Company owned by Sarah Lim" in amber, and "Your company" when it is yours. The company's panel says the same at the top. Adding people there asks first, for example "Thakral One is Sarah Lim's company. Add anyway?", before anything is added or charged. Say no, and when some of the people you ticked work elsewhere you are asked whether to add just those, for example "Add the 24 other people, and leave out the people at those companies?"; say no again and nothing happens. In a workspace that limits prospects to their assignee, only the Super Admin can add people at another member's company: anyone else has them left out, free, with "2 not added: Sarah Lim's company". Account Map works the same way. Each person is checked again just before they are added, so a company a teammate takes while you are adding is left out too, and the message says so. If the owner check cannot run, nobody is added and you are asked to try again.

Who can open a company. In a workspace that limits prospects to their assignee, a member without View All Contacts who opens another member's company (from a deal or a contact) sees its name and "Owned by Sarah Lim", and nothing else: no details, people or deals. Their own companies, companies nobody owns, and companies where they hold people themselves open as usual. The Companies page itself needs View All Contacts.

Sales areas. The Super Admin can give each member the postal sectors they cover, in Settings, Workspace, Sales areas: type 2 or 3 digits, like 058, 059 or 07, and press Save. A sector belongs to one member, so 058 cannot go to two people, and 058 cannot go to someone else while another member has 05. A company nobody owns yet, registered in a member's area, shows "In Sarah Lim's area" (or "In your area") in People Search, on its panel and on the Companies page, so others check with that member first. Nothing is assigned automatically: the member owns the company once they add someone there, or when the Super Admin gives it to them. The area is read from the company's registered address in the Singapore company register, so People Search shows it for companies you do not hold yet too. A company with no registered address, or a name the register cannot match to one company, shows no area.

Splitting work by area, company or account. Give each manager their postal sectors under Sales areas, give companies to managers on the Companies page (Set owner), and share or move contacts with Assign to User. Or let each manager add their own: the people and the company are theirs from the first add.

Other ways people come in. In a workspace that limits prospects to their assignee, the same rule holds everywhere: Add all to list, Suggested Audiences, Add contact, a CSV import, the API's people collect, the Copilot and the MCP claim_prospects leave out people at another member's company and say how many (Add all counts them with the people skipped). These cannot stop to ask, so in an open workspace they add the people, and the company keeps its owner.
